Within the scope of the project, the Code of Conduct (CoC) and personal integrity survey questions in addition to CoC compliance promotion structure in Mitsubishi Electric Corporation and other group companies in Japan as well as those outside Japan were translated from English into Turkish.

CHALLENGES

  • The source text titled Questions to Test for Integrity contained elements that require adaptation in line with local laws and regulations.
  • The questions also included examples from making excuses which consisted of relatively informal statements that people would say when making such excuses. Such statements should also be adapted into those we would typically hear from Turkish people and would not sound unnatural.
  • The second file consisted of an organizational chart illustrating the compliance promotion structure, i.e., functions responsible for promoting compliance in their respective organizations / group companies. Such functions require company-based research to use the corresponding title in an accurate manner in the target text.
  • Since this chart is provided as a PNG file, there were also some visual aspects such as page layout which needed to be taken into consideration while creating the same chart in the form of a Word document.

SOLUTIONS

  • Survey questions were carefully analyzed to identify any elements that require cultural adaptation for group company employees in Türkiye in line with applicable laws and regulations.
  • Informal statements were adapted in a manner consistent with the target group characteristics. In addition, as the word “excuse” can be translated in several ways into Turkish, the most ideal option was intentionally used to give nuance in the target language.
  • The organizational chart was reviewed and a corresponding chart was created with local content by paying attention to roles and functions of individual group companies involved in the compliance promotion structure.
  • Technical aspects related to page layout and design were also taken into consideration in creating this document with similar visual characteristics to provide a quick guide for the target audience.

SOLUTION ELEMENTS

  • Knowledge about various corporate structures, job titles, roles/functions as well as company-specific internal procedures and policies, including those related to Code of Conduct and Compliance.
  • Knowledge about applicable laws and regulations as well as any other applicable legal framework.
  • Competence in translation and adaptation of informal speech into the target language and culture.
  • Computer skills and technical knowledge about creating visual aspects of a document.

BENEFITS

  • Providing the employees in the local market with clear survey questions for self-assessment on personal integrity to help the company comply with applicable regulations as well as internal procedures.
  • Providing a quick guide on compliance promotion with visual appeal.
